Your personal data is collected when you provide it to us through the Phorest program, our website or social media, by phone, email, in writing, at a Klinik Linnean store or in any other way. Data is stored using the Phorest software platform. Paper registers are also partially used.

 

Klinik Linnea gives you access to information about your account and Reservations through the Phorest program for the purpose of viewing and updating said information.

 

Information sharing

 

Your personal data will only be shared with Phorest representatives only if Klinik Linnea needs customer support or troubleshooting. Klinik Linnea will not share your personal data with third parties without your prior consent, unless it is a third party already defined in this privacy statement or when sharing is required of us as part of our legal obligations under applicable data protection laws.

How long do we keep your data?

 

Klinik Linnea keeps your personal data only as long as it is necessary to provide our services to you, our customer. According to tax laws, Klinik Linnea is obliged to keep your personal data for at least 7 years. The log data referred to in Section 5 of the Act on the Electronic Processing of Social and Health Care Customer Data related to the use and transfer of electronic patient data shall be kept intact and unchanged for at least 12 years after their creation. 

If you have given us your consent for marketing purposes, we will keep the minimum necessary information until you inform us that you no longer wish to receive such notifications.

 

The conditions under which we can continue processing your personal data include:

 

• We can continue processing your personal data if we have a legal basis or obligation or it is in our legitimate interest.

 

• We may continue to process your personal data when it is necessary to verify or fulfill legal claims or to defend against them.

 

Transfers of personal data

 

When your personal data is processed through the Phorest program, all data is stored in the EU. Your data is processed by the Phorest program and stored in the Amazon Web Services cloud service. During this process, your information is encrypted both during transfers and during storage.

 

Sanctions if you do not hand over your personal data to Klinik Linnea

 

If you want to buy a product or service from Klinik Linnea, certain personal information is required to conclude the contract. Klinik Linnea cannot enter into a contract with you regarding the purchase of a product or service if you do not provide your personal information.

 

As stated in this privacy statement, we process your personal data to comply with our legal and statutory obligations and to fulfill contracts. You always have the option to refuse to provide personal data, but in this case we cannot offer you certain products, services or treatments.

 

Protection of your personal data

 

Appropriate measures are taken to protect your personal data from unauthorized access from within or outside the organization. Your connection to the Phorest system uses the HTTPS data transfer protocol and TSL protection. This means that all data transferred to the Phorest system is encrypted during data entry and transfer to the cloud service. Paper documents containing personal data are stored in a locked filing cabinet or safe, to which only authorized company personnel have access. Employees are only given limited access rights and can only visit the company's software with a PIN code given by the company's management.

 

Complaints

 

If you want to file a complaint regarding the way in which your personal data has been collected or processed by Klinik Linnea (or by third parties used by Klinik Linnea) or if you are not satisfied with the handling of the complaint, you have the right to file a complaint directly with the supervisory authority and Klinik Linnea and Klinik Linnea's data protection officer.
